Institute Registration
Share the registration link, how institutes sign up, and approving or rejecting them.
Institutes (schools and colleges) sign themselves up for a tournament. There's no need to create their logins by hand: registering creates the institute's login, which the institute's manager or coach uses from then on.
For the org admin / host: inviting institutes
- Open Institute Registration, either from the sidebar or from the tournament's row in Tournament Setup.
- Copy the link in the Share this link with institutes box and send it by email, WhatsApp or circular.
- Until the registration deadline, the tournament is also listed publicly under Browse open tournaments on the login page.
For institutes: registering
- Open the link, or go to the login page → Browse open tournaments → pick the tournament.
- Select your institute from the list. If it isn't listed, choose "My institute isn't listed" and type the name, affiliation / university and district.
- Fill in Team manager / coach: full name, phone, and the email and password you'll log in with.
- Upload the authorization letter, signed by the principal, as a PDF.
- Click Submit for approval, then log in with that email and password.
Your dashboard shows your name, institute, the tournament and its status: Pending Approved Rejected .
- Approved automatically: a listed member institute whose login has been approved before is approved straight away.
- Pending: wait for review. You can still correct details or re-upload the letter with Edit details / re-upload document.
- Rejected: the reason is shown. Fix it, then use Update & resubmit.
- Approved: you can now add teams and players. See Teams & Players.
Already have a login from an earlier tournament? Log in first, then open the new tournament's link. The form will register you with your existing account, with no new password needed. This keeps your athletes' history together across years.
For the org admin / host: approving
- Open Institute Registration. Every registration is listed with its status.
- Each registration shows Listed , External or Not listed , depending on its place in the Institute Directory.
- Click Auth letter to check the uploaded letter.
- For a not listed institute, choose next to Approve how to add it to the directory: as a new external institute, as a new member, or as the same institute as an existing entry (if it registered under a slightly different name).
- Click Approve, or Reject, enter a reason, and Confirm. The institute sees the reason on its dashboard.
From the same list, the org admin and host can open each institute's teams and players to check them.
Hosting rights (org admin only)
An institute can run its own tournament only if the org admin grants it hosting rights. Use Grant in the Hosting column; click the badge again to revoke. Granting is a one-time, lasting decision, separate from approving a registration. Hosts don't see this column.
